UK buyers often receive proposals that combine discovery, software licences and open-ended support into one number. Separate them. Ask what workflow will exist at the end, which systems it touches, who operates it, what acceptance test it must pass and how the client leaves. The supplier’s office location is less useful than a clear answer to those questions.

Common candidates include professional-services onboarding, property document triage, customer-service classification, tender monitoring, invoice chasing and management reporting. Regulated finance, health, employment and public-sector work needs narrower boundaries. The first release can summarise or route records while leaving eligibility, advice and binding decisions with authorised staff.
The test set should include UK date formats, addresses, VAT references, complaints, subject-access language and vulnerable-customer cues where relevant. A workflow that performs well on ordinary enquiries but mishandles a complaint is not ready. Acceptance criteria must reflect the costly edge cases, not only the most frequent ones.

These are Australian-dollar Ential prices, not UK market averages.
We do not publish a GBP conversion that can drift with exchange rates or imply UK tax treatment. The proposal states the A$ fee, software assumptions, invoicing schedule, ownership and support period. UK buyers should obtain their own advice on VAT, withholding, contracting and data-protection terms.
UK procurement and privacy questions
Ask whether the supplier will act as a processor, where data is hosted, which subprocessors receive it, whether prompts train vendor models and how international transfers are handled. Ask how an access request, erasure request or correction affects copies held in logs, vector stores and support systems. A generic promise of “GDPR compliance” is not a system design.
The technical review should cover single sign-on where needed, least privilege, production logging, secrets, restore tests, penetration-test expectations and vulnerability handling. The exit plan should provide workflow exports, source, configuration and deletion confirmation. Ential supplies evidence about its build and vendors but does not certify the client’s compliance.
Measuring the pilot and deciding what not to scale
